Quick Guide: Project Manager Permissions

How to manage projects, users, and time entries within the projects your Project Managers oversee.

The Project Manager role is designed for employees who manage specific projects and the users and hours within those projects.

The key idea is simple: Project Managers manage projects, not users globally. Their permissions are therefore centered around the projects they are responsible for and the people who participate in those projects.

Adding time entries from Hours

When a Project Manager opens Hours, they will not see the user dropdown selector that allows other roles to switch between employees.

From this view, Project Managers can only add and manage their own hours.

This keeps the Hours section focused on the individual user rather than giving Project Managers access to coworkers outside the context of a project.

Adding time entries for coworkers from a project

To add time for a coworker or a Time Logger, Project Managers should start from the project where the hours belong.

How to assign hours to specific tasks for an employee:

  1. Open Work and select the project.

  2. Open the relevant task.

  3. Go to the Hours tab.

  4. Click Add time entry.

  5. In the time entry form, use the User Selector to choose the person whose hours you want to add.

The User selector will display the coworkers and Time Loggers who are part of that specific project. This means Project Managers can create time entries for their team while staying within the scope of the projects they manage.

Adding time entries from any screen

Project Managers can also click the + button in the side menu (always visible) and select Time entry. In this time entry form, they will also have access to the User Selector.

This is useful when, for example, a Project Manager wants to:

  • Open Timesheets.

  • Add hours for different coworkers.

  • See the timesheet populate in real time as entries are created.

What Project Managers can expect

Project Managers can:

  • Manage the projects they are responsible for.

  • Work with the coworkers and Time Loggers who belong to those projects.

  • Create time entries for those users.

  • Add hours directly from a task or through the global Time entry option.

  • Review how those hours populate in Timesheets and within the project.

This permission model keeps the role aligned with its purpose: managing projects, their participants, and the hours recorded within them.
