Learn how to export TrackingTime reports to PDF, CSV, Excel and more, to share with your colleagues and clients.

Overview

The export menu ("Share") is located in the header right side controls of almost every report. As you can see, there are many different ways to pull your hours.

Export to PDF

Roles: All roles | Paid Feature

This option will download a PDF report, for the selected period.

How to export a report to PDF:

  1. In the header right side controls, click on the export button and select "PDF"

  2. In the pop-up window, complete the report's title and description and choose to display only totals or include all the time entries.

💡 Click on "Advance Settings" to add your company or account logo, include a signature block in the report footer, and customize paper orientation and format.

Export to CSV

Roles: All roles | Free Feature

This option will download a CSV report, for the selected period.

How to export a report to CSV:

  1. In the header right side controls, click on the export button and select "CSV".

  2. Select the export settings:

    • Visible columns: only the rows you see on the screen will be exported.

    • All columns: If selected, all time entries for the selected time period will be exported, without applying any current settings in your report.

    • Column separator: Choose the character used to separate columns in the CSV file. Comma (,) is the default option. If you’re a Mac user and want to edit the CSV file with Numbers, then you should choose Semicolon (;). TAB is often used by Linux users.

💡 Useful for: further editing timesheet data in another application.

CSV is a simple file format that’s widely used in the industry. You can import one of our CSV timesheet files directly into Google Sheets, Numbers and many other business apps.

Export to Excel

Roles: All roles | Paid Feature

This option will download a .xlsx report, for the selected period.

How to export a report to XLSX:

  1. In the header right side controls, click on the export button and select "XLSX".

  2. Select whether you would like to export only the visible columns or all columns.

💡 If you would like to import data from TrackingTime into Google Sheets, you can do it by exporting your Timesheets to a CSV or Excel, and then import it in Google Sheets.

Export into an Invoice

Roles: Admins | Paid Feature

This option will open an invoice template in a new window, with pre-filled information taken from the chosen report, for the selected period of time.

How to export a report into an Invoice:

  1. In the header right side controls, click on the export button and select "Invoice".

  2. Select whether you want to group the time entries or not, and if they should be marked as billed or not billed.

  3. Click on Create.

Export into a Shared Report

Roles: All roles | Paid Feature

This option will open a Shared report, for the selected period.

How to export into a Shared Report:

  1. In the header right side controls, click on the export button and click on "Share" or "Shared Report".

  2. Choose a title and a description for your report.

  3. Enable live report if you want to continue editing the report after exporting it.

  4. Click on Create.

⚠️ The Pace report cannot be exported, currently.

Create a Scheduled Report

Roles: All roles | Paid Feature

You can choose to have your timesheet reports get sent out automatically, to selected users in your workspace, on selected dates and times.

How to schedule a report:

  1. Go to Reports>Timesheets and set up your report.

  2. Once your report is ready, click on Share.

  3. Choose one of the export options CSV, PDF or Excel.

  4. Click on the Schedule to email button.

  5. Fill in the report title and choose a date and the frequency of the repetition.

  6. After selecting the recipients, click on Schedule.

  7. Optional: Click on Preview to receive an email containing a preview of the report.
