Learn how to add multiple employees at once to your TrackingTime workspace.

Batch invite employees to your workspace using the Data Import tool. You can easily import all your employees' information from a CSV file into TrackingTime.

How to batch import your employees' data:

  1. Click on the "Settings" menu button in the top right corner of the screen and select "Data Import" in the left column.

  2. Select "Import users"

  3. Copy and paste your employees data or upload a CSV file from your computer.

  4. Once you have imported the users, you'll need to match the columns to your file.

  5. Once the setup is complete and there are no errors, click on "Import".

  6. Finish by clicking on "Confirm".

⚠️ Make sure there is no missing or invalid information. The app will show you errors in red.

⚠️ Please, remember that adding new users may incur in a cost.

Add extra employee information

The Import Users page will have as mandatory columns User Email, Name, Surname and Role. If you have more employee information you'd like to import to TrackingTime, such as rate, team they belong to, type of contract, etc., then you'll need to create more columns.

The only way to add columns to the import page, is to create them as custom fields first. The import page will display as columns any custom fields that were previously created on a User level.

How to create a Custom Field on a User level:

  1. Select the User level and click on Add User Field.

  2. Name your custom field (your column) and choose the type of response display you want to assign it.

  3. All done! Go back to the Import page and you'll be able to see the custom fields as columns when importing the data.

⚠️ Make sure the file you import has the same column names as the custom fields you've created.

📝 We'll look in your account for all users specified in your CSV file. If their information already exists, we will not duplicate it.

Supported Date Formats

We'll try to automatically identify the date format of your file, but you can also select the correct one in the Settings panel displayed on the to right corner of the screen. The following date and time formats are supported:

  • MM/DD/YYYY (e.g. 04/25/2016 for April, 25 2016)

  • DD/MM/YYYY (e.g. 25/04/2016 for April, 25 2016)

  • YYYY-MM-DD (e.g. 2016-04-25 for April, 25 2016)

  • DD.MM.YYYY (e.g. 25.04.2016 for April, 25 2016)

  • YYYY.MM.DD (e.g. 2016.04.25 for April, 25 2016)

  • YYYY/MM/DD (e.g. 2016/04/25 for April, 25 2016)

  • hh:mm:ss for 24-hour clock, e.g. 18:59:00

  • hh:mm:ss [am/pm] for 12-hour clock, e.g. 06:50:00 pm

📝 Start and end dates must include the full date and time in one of those formats.
